Defining event registration classes

The Registrant classes window in the Advanced Accounting Console lets you manage the categories for customers that you plan to register for an event.

You should create categories for all groups for which you need to do the following:

  • Charge different fees
  • Track
  • Print badges
  • Report on separately

A set of registrant classes can include member, non-member, exhibitor, speaker, staff, student, and volunteer. When you set up your categories, include all of the classes that you will need for tracking and differentiating the registrants attending the largest events that you will process through iMIS.

iMIS will categorize each event registrant into either the member (M) or non-member (NM) class because most organizations commonly assign registration fees at those levels. This determination is made based upon the registrant's customer type and whether or not the registrant's record is on file in the database.

Note: A non-member class will be assigned if the customer's status is set to suspended, inactive, or deleted (begins with S, I, or D).

These are three possible scenarios for defining event classes:

  • Let the registrant class default to the M = Member or NM = Non-member type in the Member Type table. Using this scenario, all registrants are either members or non-members based upon their customer record.
  • Map customer types to registrant classes. Using this scenario, you may or may not want to map all customer types. For example, you may want to map only M = Member, NM = Non-member, and CM = Company Member.
  • Define your own registrant classes without using customer types. Using this scenario, you must override the M = Member or NM = Non-member status during the event registration process by entering the appropriate registrant class.

Do the following to define event registration classes:

  1. In the Advanced Accounting Console, go to Settings > Events > Set up tables > Registrant classes.
  2. In the Registrant classes window, click New.
  3. Enter the Class, Description, and Long Description.
  4. Click Save.
