Avoiding blank address records
It is possible to create address records that contain a phone number but no address. For example, if you enter a value in a field on the Profile tab and the secondary address record that corresponds to the mapped field does not exist, the mapped field on the secondary address tab is not automatically populated with the value from the Profile tab. If you click in the mapped field on the secondary address tab, the field is populated with the value from the Profile tab, but the other fields, including the address fields, of the secondary address tab will still be empty. This can result in the printing of blank labels during a label run.
If you need to track secondary phone number values such as pager and cell phone numbers, you should create user-defined tables and custom tabs in Customers for this purpose rather than storing these numbers in address purpose fields. This prevents the creation of address records that contain a phone number but no address.
Note: If you populate a field on a secondary address tab that does not contain an address, make sure to enter an address to avoid blank address labels.
To synchronize phone numbers and e-mail
- From Customers, select Set up module > General.
- Click Address and Notes to display the Customer Setup - Address and Notes window.
- Click Edit.
- Select the work phone address mapping from the Work Phone Flow from/to Phone Number at Address drop-down list. The default address mapping is None.
- Select the home phone address mapping from the Home Phone Flow from/to Phone Number at Address drop-down list. The default address mapping is None.
- Select the fax number address mapping from the Fax Number Flow from/to Fax Number at Address drop-down list. The default address mapping is None.
- Select the e-mail address mapping from the E-mail Flow from/to E-mail at Address drop-down list. The default address mapping is None.
- Click Save.
- Ensure that no other users are logged in to iMIS.
- Select Utilities > Reports and Queries.
- Select Table Maintenance from the Report Types scrolling list.
- Select Run Name_Address to Name Global Sync from the Available Reports scrolling list.
- Click Run. The Run Name_Address to Name Global Sync window and a confirmation message display. Click Yes.
- Exit and restart iMIS.
Note: Home Phone Flow from/to Phone Number at Address and Work Phone Flow from/to Phone Number at Address cannot be mapped to the same address purpose.
Note: You must exit and restart iMIS immediately after running the Run Name_Address to Name Global Sync script for synchronization to occur.
