Generating Export Reports

You can run special export reports for generating form letters in your word processing software, for example, a letter from the executive director or president to students when they earn their certification. The Certification module exports files to both Microsoft Word and WordPerfect.

To generate an export file

  1. From Certification, select Generate reports to open the Generate reports window.
  2. From Report Types, select Exports.
  3. From Available Reports, select Export Name and Address to Microsoft Word.
  4. Click Run to open the Certification Selections window.
  5. Enable the appropriate Certification Items option.
  6. Select the appropriate Print Options.
  7. Enable the appropriate Address option.
  8. Click OK to open the Set print file name window.
  9. Enter a file name and click Save.
  10. Open a blank document in Microsoft Word.
  11. Select Tools > Mail Merge.
  12. The Mail Merge Helper window opens.

  13. Click Create > Form Letters under the Main document area.
  14. A message asks you to choose either Active Window or New Main Document.

  15. Click Active Window.
  16. Click Get Data > Open Data Source under the Data source section, and browse to the file you saved.
  17. A message alerts you that Word found no merge fields in your main document and displays an Edit Main Document button.

  18. Click Edit Main Document and enter the appropriate merge fields in the document.
  19. Click OK to save the document.
  20. Merge the information and print the form letter.
